PAYMENT METHODS
Fees must be paid at the time of registration, either by credit card via the website or by bank transfer. Bank transfers will be accepted until June 27, 2025. After this date, only credit card payments will be accepted.
For participants paying by bank transfer, please read the following carefully:
HOTEL BOOKINGS
Booking preferences must be submitted directly by participating organizations and not via any third party (e.g. travel agency or other operator).
The RVS Association and the Monaco Government Tourist & Convention Authority will make every effort to fulfill requests within the limits of the available quotas and room availability at the time the request is received.
As demand far exceeds the number of rooms available in the Principality, priority may be given based on the seniority of the participant and/or the requesting organization.
To benefit from the RVS preferential rates (subject to available RVS room quotas), a minimum stay of 3 nights is required for bookings at RVS-affiliated hotels.
Hotel booking requests must be made during the registration process.
No hotel request at RVS negotiated rates will be accepted by phone, email, or by contacting the hotel directly.
Once validated, the hotel booking will be confirmed by email from the RVS office.
All modification requests must go through the organization. Please do not contact the hotel directly - you will be redirected to the RVS office.
Prepayment is required to guarantee your hotel booking. The hotel will contact you directly, starting in June, to arrange payment of the deposit. For any specific requests related to your accommodation (bedding, accessibility, parking), please contact the hotel directly.
Please note that RVS does not collect deposits on behalf of the hotels.
Below are the cancellation policies in effect for all hotels in the Principality:
1 night penalty for cancellations between June 7 and July 7, 2025, inclusive.
2 nights penalty for cancellations between July 8 and August 7, 2025, inclusive.
100% penalty for cancellations starting August 8, 2025.
Considering that number of participants largely exceeds number of rooms available in the main hotels within the Principality, RVS revised the right to apply criteria of seniority of the participants and/or the company for allocating the hotel room.
GENERAL INFORMATIONS
Registrations may be cancelled free of charge until June 27, 2025, inclusive. After this date, anyone cancelling their participation in the RVS will be required to pay the registration fees.
Registrations are nominative and, in principle, non-transferable. However, a name change will be accepted free of charge until August 1, 2025, inclusive. After this date, any new participant registration will be billed €200, even if one colleague is replacing another.
Cancellations and replacements are accepted until August 31, inclusive.
Registrations will close 72 hours before the congress, on September 3, 2025, at 11:00 AM. Please note that after this date, we will no longer be able to make any changes to your registration or hotel booking.
The RVS reserves the right to refuse registration to anyone whose activity is not related to insurance or reinsurance.
During the RVS, the distribution of documents, promotional items, products, services, or materials by any participant is strictly prohibited in public spaces, as well as in public and private venues (including hotels, meeting areas, and conference spaces), unless expressly authorized by the organizer for private venues. Distribution is strictly limited to official exhibitors with an assigned space at the RVS.
Upon request, the participant must submit a complete list of the products they intend to distribute. If authorization is granted by the organizer, the participant undertakes to strictly comply with this list and to distribute only products, services, or materials that comply with French or European regulations. Failing this, the participant shall bear sole responsibility towards third parties. The participant must also, at their own expense, take out all necessary insurance to cover the risks incurred by themselves and their staff.
Any person exclusively in charge of distributing these products must wear a specific “Distributor” badge.

Badge can be collected from the RVS welcome desk, located in the Salle d'Or at the Fairmont Monte-Carlo. It also gives you access to the list of participants.
Wearing your badge is mandatory at all times during the congress.
